When you sign up at Ignivale Odyssey, we're gonna need some basics to get you started. Here's what we typically collect:

  • Personal Details: Your name, email, phone number, date of birth, and address. Pretty standard stuff so we can reach you and verify who you are.
  • Health & Fitness Info: Medical history, injury records, fitness goals, current fitness level. We need this to keep you safe and design programs that actually work for you.
  • Payment Information: Credit card details, billing address, membership type. Obviously we need this to process your membership and class bookings.
  • Usage Data: Class attendance, workout preferences, performance metrics. Helps us understand what's working and what ain't.
  • Communication Records: Emails, messages, feedback you've shared with us. We keep these so we can follow up properly and improve our services.

We only collect what we actually need. We're not out here asking for your social security number or your mom's maiden name or any of that nonsense.

We're not collecting your info just to hoard it. Here's what we actually do with it:

  • Running the Gym: Managing memberships, scheduling classes, processing payments, keeping track of attendance. You know, the day-to-day stuff.
  • Keeping You Safe: Your health info helps our coaches modify workouts, avoid exercises that might aggravate old injuries, and make sure you're not pushing beyond safe limits.
  • Personalization: Tailoring workout programs, nutrition plans, and coaching advice based on your goals and progress. Generic programs don't cut it for serious results.
  • Communication: Sending class reminders, schedule updates, important announcements. Sometimes we'll share fitness tips or special offers, but we won't bombard you.
  • Improvement: Analyzing trends to figure out which classes are popular, what times work best, and where we can do better.
  • Legal Stuff: Occasionally we need records for liability reasons or to comply with Canadian regulations. It's boring but necessary.

We don't keep your data forever - that'd be weird and unnecessary. Here's our general approach:

  • Active Members: We keep your full profile as long as you're training with us. Makes sense, right?
  • Former Members: After you leave, we'll keep basic records (name, contact, membership history) for about 7 years. This is mainly for accounting, tax purposes, and in case there's ever a legal issue.
  • Health Information: Injury records and medical history are kept for 7 years after your last visit, which is standard practice in the fitness industry.
  • Marketing Lists: If you're just on our email list and never joined, we'll keep your info until you unsubscribe or until you haven't engaged with our emails for 2 years.
  • Payment Records: Financial transactions are kept for 7 years to comply with Canadian tax laws.

When we do delete data, it's permanently removed from our systems and backups. Gone for good.

We occasionally take photos and videos at the gym for marketing, social media, or to showcase our community. Here's the deal with that:

  • We'll ask for your permission before using any photos or videos of you in our marketing materials or on social media.
  • If you don't want to be photographed, just let us know and we'll make sure you're not in shots. No judgment - some people just don't like being in pictures.
  • If we've already posted something with you in it and you want it taken down, tell us and we'll remove it.
  • Group class photos where you're not the main focus might appear on our social media. If you're uncomfortable with this, let us know.
  • Progress photos you share with your coach stay private unless you explicitly say we can share them (with your identity protected if you prefer).

We love showing off our awesome members and the hard work everyone puts in, but your comfort and privacy come first.

If you're under 19 (the age of majority in BC), we need parental consent before collecting any of your information. Here's how we handle youth members:

  • Parents or legal guardians must sign up youth members and provide consent for data collection.
  • We collect the same basic info as we do for adults, but all communication goes through the parent/guardian.
  • Parents have full access to their child's account information and can request changes or deletion at any time.
  • Youth members' health and fitness information is treated with extra care and only shared with coaches who directly work with them.
  • We never knowingly collect information from kids under 13 without verified parental consent.

Privacy laws and best practices evolve, and our business grows and changes too. So we might need to update this policy from time to time. When we do:

  • We'll post the updated version here with a new "Last Updated" date at the bottom.
  • If there are major changes that significantly affect how we use your data, we'll send you an email heads-up.
  • We'll never retroactively change how we use data you've already given us without your consent.
  • You can always check back here to see the current version of our policy.

We're not gonna make sneaky changes and hope nobody notices. If something important changes, you'll know about it.
